How Hex Hosting handles personal information when you use our website and hosting services.
1. Introduction
Hex Hosting is a UK sole-trader business trading under the names Hex UK, Hex Hosting and Hex Web Design. For customer accounts, billing, enquiries and its own website activity, Hex Hosting generally acts as data controller. When hosting information on behalf of a customer’s website or email service, it may instead act as a data processor under that customer’s instructions. Hex Hosting respects your privacy and is committed to handling personal information responsibly. This notice describes the information we collect, why we use it, and how to contact us about your data.
2. Information we collect
When you enquire about or purchase hosting services, we may process your name, contact details, account information, service details and billing information. Customer account and billing processes use our WHMCS client area. Information may also include IP addresses, security and activity logs, service usage, domain registration contacts, support messages and attachments, and website enquiries. Personal data stored in customers’ websites, databases and email is ordinarily processed for those customers rather than collected by Hex Hosting for its own purposes.
3. How we use your information
We use information to provide requested quotes, set up and manage accounts, supply hosting and domains, process billing, respond to support enquiries, protect services against misuse and send necessary service messages. Depending on the purpose, our lawful basis is performance of a contract or steps requested before one, compliance with a legal obligation (including relevant tax and accounting requirements), or legitimate interests in service security, fraud prevention and business administration, balanced against individuals’ rights. Where consent is legally required, including for non-essential cookies, we seek consent and allow it to be withdrawn. Separate marketing communications follow applicable direct marketing rules.

5. Sharing information
We do not sell personal information. Depending on the service, information may be shared with our upstream hosting provider Unlimited Web Hosting, payment processor PayPal, domain registries and registrars, customer-support and billing providers, website analytics or communications providers, and professional advisers. Domain contact details may need to be supplied to the appropriate registry or registrar. Providers may have access only to information required for the relevant service. International data transfers, where they occur, must be supported by an applicable lawful transfer mechanism and safeguards; specific providers and locations remain under review.
6. How long we keep information
We retain active account and service records while required to provide the service. Financial records may need to be kept for applicable HMRC record-keeping periods. Support tickets, access and security logs, inactive accounts and deleted hosting data are subject to operational retention schedules and any legal hold; their exact periods and backup deletion timetable are being reviewed. Customers should not assume that deleting an active website instantly erases all backup copies.
7. Your data protection rights
Subject to applicable UK data protection law, you may have rights to access, correct or erase personal information, restrict or object to certain processing, withdraw consent where processing relies on consent, request portability and challenge certain solely automated decisions where applicable. You may also complain to the Information Commissioner’s Office (ICO) at ico.org.uk. When Hex Hosting is a processor, requests concerning a customer’s hosted content should normally be directed to the website or service operator acting as controller. 8. Security
We use technical and organisational measures intended to protect personal information. No online service can guarantee absolute security.
